The Outlook integration enables single sign-on (SSO) with Microsoft Entra ID and supports syncing your Outlook calendars with Four/Four.

If your company subscribes to the Four/Four Notetaker feature, this makes it seamless for your team to capture, record, and analyze external meetings without manual setup, directly from your Outlook environment.

How it works

When you connect your Outlook account to Four/Four:

  1. SSO will be enabled. Your users can log in to Four/Four with their Microsoft Entra ID credentials.

  2. Four/Four reads calendar events for every user who exists in Four/Four, so meetings are always up to date.

  3. The Four/Four notetaker can automatically join meetings based on the mode you pick:

    • Manual mode: Only joins meetings where you’ve explicitly invited the note taker (by inviting [email protected] in the calendar invite).

    • Organizer mode: Auto-joins external meetings you organized (Four/Four recognizes which meetings have outside guests).

    • All external meetings: Joins any external meeting you’re invited to, even those set up by customers.

  4. You can always manually tell the notetaker to join a meeting at any time, even halfway through using the invite interface.

  5. The notetaker automatically records, transcribes, and analyzes these meetings in your Four/Four workspace.

Can I control which meetings are recorded?

Yes, any individual user can switch between manual, organizer-only, and all external meeting modes in their profile settings. When new users are invited to the service, they'll be asked what method they prefer.

What if I want to manually add the note taker to a one-off meeting?

You can invite the notetaker email ([email protected]) to the meeting, or use a join link at any time.

Does the integration capture internal meetings?
No, Four/Four only joins meetings with external participants unless you request otherwise.

Can I use this with multiple calendars?

Four/Four will sync the main Outlook calendar for users who connect their accounts.

How do I get started?

In Four/Four, go to your connection settings and connect your Microsoft 365 account.
