Notetaker

The Four/Four Notetaker feature makes it seamless for you to automatically capture, record, and analyze external meetings.

The notetaker is fully compliant with the privacy requirements of the General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA).

First, you choose how the notetaker decides whether to join your meetings (see below).

The notetaker join but will wait in the waiting room until admitted. The notetaker can be kicked out of the meeting if needed, or recording can be paused and resumed at any time.

Notetaker settings

You can review your personal notetaker settings by opening the My Profile section of the interface.

Only join manually

In this mode you're fully in control, the notetaker won't join without you specifically inviting it.

You can invite the notetaker by adding [email protected] to the calendar invite, or clicking 'Invite Notetaker' in the Conversations interface.

Note that in this mode a notetaker still might join your meeting because one of your colleagues has invited it.

Join meetings I organize

In this mode the notetaker joins external meetings where you created the original calendar invitation.

Join all my meetings

Joins any external meeting you’re invited to, even those set up by customers.

Common questions

Can I control which meetings are recorded?

Yes, any individual user can switch between manual, organizer-only, and all external meeting modes in their profile settings. When new users are invited to the service, they'll be asked what method they prefer.

What if I want to manually add the note taker to a one-off meeting?

You can invite the notetaker email ([email protected]) to the meeting, or use the 'Invite Notetaker' button on the Conversations page with a meeting join link at any time

Does the integration capture internal meetings?
Not normally, Four/Four only joins meetings with external participants unless you use the 'Invite Notetaker' button in the Four/Four interface.
