In Admin > Team you invite people, set their roles and licences, edit their profiles and remove them. Each person has one or more roles (what they can see and do), optional licences (for the Four/Four apps inside HubSpot and Salesforce) and optional group memberships.
The team list
People who have not accepted their invite show Invite not accepted. The text under the "Team" heading shows how many licences remain on your plan; on a trial plan, licences are unlimited.
Invite a team member
Select Invite user and enter the name and email. Tick the licences the person needs if User licences is shown, and tick one or more roles. Viewer is selected by default; on a trial plan, Viewer, Creator and Admin are all selected by default.
The person receives an email with a link to join. Invite user is greyed out if your plan is not active, for example after a trial has ended. Contact your Four/Four team in that case.
To resend an invite, open the three-dot menu on the person's row and select Resend invite. This option only appears for people who have not accepted. "Invite resent" appears briefly beside their name.
Edit a team member
Select the person's name, or use the three-dot menu and choose Edit user. On their profile page you can:
Change the name and profile photo. The email cannot be changed.
Use Reset password to email the person a reset link.
Set the Job Domain (for example sales, success or support). Four/Four uses it when grouping activity and insights by role, including in the usage activity report.
Change licences and roles.
Review the Groups the person belongs to. Each name links to the group; to change membership, edit the group.
Adjust their notetaker settings, if they are allowed to record conversations.
Roles
Four/Four has three built-in roles and supports custom roles. A person can hold several roles and gets the combined permissions.
Viewer: read conversations, labels, topics and insights; use the notetaker; download and share conversations.
Creator: everything in Viewer, plus manage conversations, labels, topics, workflows and insights.
Admin: manage team members, set permissions and connect integrations. It does not include Viewer or Creator permissions, so admins are normally given those roles too.
You cannot change your own roles. This prevents anyone removing their own admin access by mistake; another admin can change it for you. See "Roles and permissions" for the full permission list and custom roles.
Licences for the HubSpot and Salesforce apps
If your plan includes the Four/Four app inside HubSpot or Salesforce and that CRM is connected, User licences appears on the invite and edit screens with HubSpot and Salesforce options. Each shows how many licences are available. A licence lets the person open the Four/Four app inside that CRM. Without one, they see a message that their account is not licenced and to contact their administrator. Licences are separate from roles.
Remove a team member
Use Remove user in the three-dot menu on the person's row, or Remove from team on their profile. The person can no longer log in to your workspace and is taken out of all groups. You cannot remove yourself.
Permissions
Access to the Team tab is controlled by permissions.
Manage team members: needed to use the Team tab to invite, edit and remove people. The built-in Admin role has it. Without it, the Team tab is not shown.
Adjusting a person's notetaker settings on their profile also needs the permission to edit everyone's notetaker settings.
