Key Triggers:

  • Scheduled: e.g., weekly/monthly team digests, reports.

  • On Conversation Processed: e.g., instant summary when a new call that fits a specified criteria is uploaded.

  • On Insight Generated: e.g., label/tag new insights matching criteria.

How-To:

  1. Access Workflow Builder in Four/Four.

  2. Choose trigger.

  3. Define filter (e.g., all support calls in last 7 days).

  4. Set actions:

  5. Email (to user or group)

  6. Slack notification

  7. Auto-labelling/tagging

  8. Apply prompt

  9. To send to multiple emails, use group alias or add emails per action node.

Best Practices:

  • Use “run once” for historic/bulk tasks (e.g., labelling past data).

  • Schedule regular digests for leaders or teams.

  • Automate summary prompts for routine meetings.

  • Keep workflow names clear and standardised.

Tips:

  • Review workflows regularly; disable those you’re not using.

  • Create separate workflows per use case/function.
