Company description and internal domains

Set the company description Four/Four uses as context, and list the email domains that count as internal.

Admin > Company holds two settings: a company description that Four/Four uses as background context, and a list of internal email domains.

Company description

Four/Four uses the description as background context when it creates insights, writes summaries and answers questions in the Analyst. It helps Four/Four recognise your terminology, products and customers. The description is not shown to your customers.

The description has three tabs, described below. A word counter shows your count out of 800 and turns red when you go over. Save applies to all three tabs at once, and leaving a section empty clears it.

What to include

Product and Service

Your company, its services, and product and feature breakdowns. All brands and products you support, alternative names customers use, and regional or country operations if relevant.

Team and Process

Organisational structure, processes, internal personas and domain-specific terminology, including integrations or tools your teams talk about.

Competitive and Market

Competitors, ideal customer profile and market positioning.

Keep each section to 800 words or fewer, be specific, and write in the language your customers use. Do not include confidential information. Update the description after major changes such as an acquisition, a new product line or a new target market.

The description is used as context when Four/Four processes content. If you want existing content re-processed after a change, contact your Four/Four team.

Internal email domains

Internal email domains lists the domains that belong to your company. Four/Four treats anyone using these domains as internal, and uses this to:

  • Decide which meetings the notetaker joins automatically. Meetings with external attendees are treated differently from internal-only meetings.

  • Work out which conversation participants are external, so insights are about customers rather than colleagues and accounts can be detected from external attendees.

  • Decide whether email threads are imported. Threads are only imported where there is an external address.

Enter the domain only (such as company.com), not a full email address. Domains are saved in lower case and you cannot add the same domain twice. Add every domain your colleagues use, including those from acquired companies or alternative brands.

Troubleshooting

  • The notetaker joins internal meetings or skips customer ones: check that all your company's domains are listed under Internal email domains and that no customer domains are.

Permissions

The Company tab needs the "Manage company" permission, which the built-in Admin role has. Without it, the Company tab is not shown.
